Automate a stable process, not confusion
Before building automation, define the request, required information, owner, approval path and completed state. Automation should make a clear process faster, not hide an unclear one.
Use four building blocks
- Trigger: the event that starts the workflow
- Rules: conditions that decide the path
- Ownership: who is responsible for the next action
- Evidence: what data confirms the work is complete
The best automation is easy to understand, easy to audit and easy to improve.
Keep approvals visible
Automated routing should not remove accountability. Every approval, exception and handoff should remain visible in the shared record.
Measure operational impact
Track cycle time, stalled work, rework and completion quality. These metrics show whether automation is improving the process or simply moving activity faster.
